Compliance, Safety & 1099s for Contractors
Setting what your business is required to hold, how Seayora grades your certificates, the safety incident log, and exporting 1099s for your accountant.
Work → Compliance & safety is where a contracting business keeps its certificates, its safety record and its year-end paperwork. Everything on the status screen is computed from real documents with real expiry dates — nothing on it is a badge somebody switched on.
Start by saying what you are required to hold
Until you set requirements, Seayora checks nothing and says so. Add the documents your business actually needs — general liability, workers’ compensation, a trade licence, a safety card for each technician — with a minimum coverage where a dollar figure applies, and how far ahead you want to be warned. Mark a requirement “blocks dispatch” and anyone who does not meet it is flagged every time you plan a route.
How a requirement is graded
- Met — on file, checked, in date, and above your minimum.
- Expiring — in date, but inside your warning window.
- Expired — past its date. Customers who ask for a certificate would be handed an expired one.
- Missing — nothing on file, or the last upload was rejected.
- Not checked — on file, but nobody has verified it yet.
- Below your minimum — the coverage is real and smaller than the figure you set.
- Amount unknown — the coverage amount was never recorded, so it cannot be compared. This is a different answer from zero, and Seayora will not report it as a shortfall.
Marketplace listing is a separate fact
Being approved for the Seayora contractor marketplace is a listing decision made by Seayora. It says nothing about your insurance, and the status screen shows the two separately.
The safety incident log
An incident report records what happened, who was involved, where, what treatment was given and what was done about it, and gets a case number so it can be referred to later. Anyone on the roster can file one from the phone they are holding — a near miss is worth writing down while it is fresh, and behind an owner-only screen the only person who could file one would be the owner.
It is a RECORD, and only a record. Seayora does not decide whether an injury is recordable under any federal or state standard, does not produce an OSHA 300 or 300A, and does not transmit anything to any agency. What your business is required to keep, and on which form, is a question for you and whoever advises you on it.
Exporting 1099s
The 1099s tab lists everyone you paid, what the form would report, and what is missing before you can file. Two exports: the full worksheet, which carries every vendor with the amounts, the exclusions and the gaps, and is the one to send your accountant; and the filing import, one row per form, which refuses to produce a file containing a recipient with no W-9 rather than handing you one with holes in it.
Why the reported amount is less than what you paid
Card, PayPal, Venmo and similar payments are reported by the processor on a 1099-K, not by you on a 1099-NEC — Reg. §1.6041-1(a)(1)(iv) and Notice 2011-42. Seayora leaves them out by default and shows the excluded amount on every row. If your books do not record the payment method reliably you can turn the exclusion off, but counting them can double-report the recipient’s income, and it is the recipient who gets the letter.
Taxpayer IDs
Seayora stores only the last four digits of a taxpayer ID and never the whole number. The export’s TIN column is deliberately blank for you to fill from the W-9 you hold. The last four is there so a bookkeeper can match a row to the right form.
Seayora does not file, transmit or furnish any information return. The amounts, the recipients and the decision to file are yours and your accountant’s.
Frequently asked questions
Where did the OSHA 300 log go?
It was removed in August 2026. It was a worksheet built from Seayora’s own reading of the facts you entered, and a regulatory determination nobody here signs does not belong on your screen. Your incident records are untouched and still list every case, with its date, severity, treatment and corrective action.
The status says “no requirements set”. Is that bad?
It is honest. Seayora will not report a pass for checks it was never asked to run. Add what your business is required to hold and the screen starts grading it.
Why is my $2,000,000 policy showing as “amount unknown”?
Because the coverage amount was not recorded on the document, only the certificate itself. Edit the document and enter the figure.
I edited a verified certificate and it went back to “not checked”.
On purpose. A verified certificate whose expiry date just changed is not a verified certificate.
Which threshold does the 1099 export use?
The one for the year the money moved — $600 through 2025, and $2,000 from 2026 under P.L. 119-21 §70433. The export prints the threshold, its source, and a warning if the figure on file belongs to a different year.
Are corporations included?
No, by default — corporations are generally exempt. Attorneys are not, and are included whatever that setting says.
