Business Credit Cards in Your Books

Keep a business card as money owed: its statements fed like a bank account, payments from the bank recorded as transfers, the limit, the period and the due date.

A business credit card is money you owe, so it is kept as a liability. Adding a card under Accounting → Credit cards creates its account (between 2101 and 2199) and a register in Banking. Connect the card’s feed or upload its statements there, exactly as for a bank account, and categorize its charges with the same rules and matching.

What the card screen shows

  • What is owed, as your books record it, and how much of the limit is used.
  • This statement period’s charges and payments, from the statement day you set.
  • When the payment is due, and the last statement you reconciled.
  • Card lines still to categorize — until they are, the books may owe more than shown.

These are your books’ figures, not the issuer’s. The minimum payment is only on the issuer’s statement. Reconcile a card in Banking by entering the statement’s balance as the amount owed.

Paying the card

“Record a payment” records a payment you already made from a bank account. It is a transfer — the card owed goes down and the bank goes down — never an expense, and both bank lines can then be matched to it. Seayora does not pay cards. You can ask for an email a few days before a payment is due; it is sent once per due date, only when the books show money owed. Only the last four digits of a card are ever asked for.
