Proof of Service: Certified Mail and Hand Delivery
Record how a served notice also reached the resident outside Seayora — certified mail with its tracking number, the return receipt, a certificate of mailing, a hand delivery or a posting — with the receipts and a proof-of-service PDF.
Every notice you serve in Seayora is delivered in the app and by email, with a record of exactly what was sent. Many leases and many states also want a notice served on paper. Proof of service is where you record how that was done. Open a served notice under Leasing → Renewals & notices (Notices on the phones) and choose “Record how it was served”.
What you can record
- USPS Certified Mail, with or without a return receipt, and Priority Mail with tracking — with the tracking number, which links to USPS’s own tracking page.
- First-Class Mail with a Certificate of Mailing (PS Form 3817), or plain First-Class Mail.
- Handing it to the resident, leaving it with another adult at the home, or posting it on the door.
- The date it was mailed or served, the address, who served it, and — when the green card or electronic receipt comes back — the date it was delivered.
Add the mailing receipt, the return receipt, a tracking record, a photograph or a signed declaration — a PDF or a photo, up to 8 MB each. Each file is kept with its fingerprint (SHA-256), so it can be shown later that it has not changed. A proof-of-service PDF is made from the record and kept in your Documents.
Records are never edited
A record cannot be changed or deleted. If something was entered wrongly, record a correction: the new record replaces the old one and both stay on the notice, the old one marked corrected. A delivery date is added once.
What the resident sees
The resident sees how and when the notice was served and how many receipts are kept. They do not see the files, the notes or who served it.
Seayora mails nothing and moves no date
You mail or deliver the notice yourself and record what you hold; Seayora does not mail anything and does not confirm delivery. Some states add days to a deadline when a notice is served by mail. Seayora does not change any deadline because of a record here — check the rule that applies before you count the days.
