Paying Bills by Check and Printing Checks

Pay bills by check, write a one-off check, print on your own pre-printed check stock, record a misprint, void a check and download the issued-checks file for positive pay.

Checks are under Accounting → Checks on the website and in the Accounting hub of the iPhone and Android apps. You print on your own pre-printed check stock — the kind with your bank’s account and routing numbers already on it in magnetic ink. Seayora prints no bank number and never asks for one.

Writing checks

  • Pay bills: tick the bills to pay and the amount for each. One check is written per vendor, recorded as the bill payment at once, and waits in the queue to print. A bill waiting for approval is not offered.
  • Write a check: for a check that pays no bill — an owner draw, a refund, a deposit returned. Choose the account it is booked to; it is posted at once.
  • A payment recorded “by check” in Bills with no check made is listed, so it can be queued and printed too.

Printing

Choose the checks and press Print. Load your check stock and enter the number printed on the first blank check; the checks are numbered in order and a PDF opens to print. Print it at 100% — “fit to page” moves every field off its box. The layout is either a voucher check (one check on top, two stubs below listing what it pays) or three checks to a page.

The numbers are held until you say how the run printed:

AnswerWhat happens
They all printed correctlyEvery check is marked printed.
Some went wrongFrom the first ruined check on, the numbers are recorded as spoiled and those checks go back to the queue to print on fresh stock. Write VOID across the spoiled checks.
Nothing printedThe checks go back to the queue and the numbers are freed, unless a later run has already used them.

A check number is never used twice on an account — printed, voided or spoiled — and only one run per account can be open at a time, because the stock in the printer is one sequence.

Setting up your stock

Under Check stock, choose the layout, and print a test page on plain paper. Hold it over a blank check against a window and move the print right or down, in points (72 to an inch, at most half an inch either way), until the payee, amount and date sit in their boxes. You can print your business name and address and a signature line if your stock does not already carry them, and set an amount above which a check prints “TWO SIGNATURES REQUIRED”. Set the next check number for each bank account from the first blank check in the printer.

Voiding a check and positive pay

Voiding a printed check needs a reason and reverses the payment in your books. It does not stop the check at the bank — if it was mailed, ask your bank to stop it. A check still waiting to print can be removed, which reverses the payment it recorded.

The issued-checks file is a CSV of check numbers, dates, amounts and payees, printed and void, for your bank’s positive-pay service. It carries no account number. A printed check moves no money until it is signed and deposited.
