Move Checklists: the Steps Before and After Moving Day

A checklist for every move-in and move-out that both you and the resident can see — steps Seayora ticks for you from what has already happened, plus your own steps for keys, utilities and a forwarding address.

This is the to-do list around a move — keys, utilities, the deposit, a forwarding address. Recording the condition of the unit is the inspection, covered in Move-In & Move-Out Checklists.

Every move-in and move-out has one checklist that you and the resident share. You see every one under Renting → Residents → Move checklists on the website (Tools → Residents on the phones), with a Move steps list of every open step across your buildings. The resident sees theirs under Move checklist in their portal and both phone apps.

Steps Seayora ticks for you

Some steps are facts Seayora already knows, so nobody ticks them by hand — a lease signed by everyone, a deposit received, an inspection completed. They are ticked the moment the record behind them exists. If Seayora could not check one, it says “Could not check” rather than leaving it looking unfinished.

Your own steps

Below those come the steps that are acts, not records: handing over keys, setting up utilities. Until you write your own, every checklist starts with these:

Move-in stepWhose stepRequired
Electricity, gas and internet set up in your nameResidentYes
Cars and pets added to your homeResidentNo
Keys, fobs and access codes handed overBuildingYes
Building information shared (trash day, laundry, house rules)BuildingNo
Move-out stepWhose stepRequired
Forwarding address for your depositResidentYes
Utilities moved out of your name or closedResidentYes
Unit emptied and cleanedResidentYes
Keys, fobs and parking permits returnedBuildingYes

Change them with Move-in steps or Move-out steps: add, remove, reword, say whose step each one is and whether it is required, and add a line of help the resident sees. A management company’s steps apply to every building it manages. A checklist that already exists keeps the steps it started with, so changing your template never rewrites a move that is under way.

Ticking a step

The resident ticks their own steps; you or your team tick the building’s. Either side can untick a step ticked by mistake. Each step records who ticked it and when.

The forwarding address step asks for the address itself, because that is where the deposit and its statement are sent. It is the only step that takes a typed answer.
