Customer Equipment
Keep a record of the equipment you look after at your customers’ sites — make, model, serial, install date and warranty — put it on the jobs you do, and see every visit it has had.
The equipment register is your business’s own record of what you look after at your customers’ sites: the boiler in a basement, the rooftop unit on a building, an electrical panel. Each piece has its make, model and serial number, when it went in, when its warranty ends, and every job it has been on.
Find it on the website under Work → Equipment, and on a job’s card on the Active jobs board. On both phones it is under Tools → Equipment and Tools → Scan a rating plate, and in a job’s record under Equipment on this job.
Adding equipment
- Add it by hand: a name, its type, the make and model, the serial number, whose it is and where on site it sits.
- Scan its rating plate on a phone. The app reads the plate on the phone, finds the model, serial number and make, and either shows you the equipment you already have or fills in a new record for you to check. Nothing is added until you confirm it, and every field can be corrected.
- Record it from a job. The job already says whose it is and where, so you only add what is on the plate — and it is put on that job at the same time.
Warranties
- Each piece shows one of four things: under warranty until a date, warranty ends soon (within 60 days), warranty ended, or warranty not recorded.
- Not recorded means nobody entered an end date. It is not the same as out of warranty, and Seayora never treats it as one.
- The Warranty ends soon view lists what is about to run out, so you can tell a customer while there is still time to claim.
Equipment on a job
- Open a job’s equipment from its card or record. It lists what is already recorded there and the customer’s other equipment, ready to add in one tap.
- Each piece’s record lists every job it was on — the date, the status, the technician and any forms submitted there — read straight from the jobs, so it always matches the board.
- Taking a piece off a job changes nothing about the equipment itself.
Removing equipment
When a unit is replaced or taken out, mark it removed and say why. It stops being offered on new jobs, and its history stays. You can put it back in service at any time.
Who can see it
- The register belongs to your business. A property owner or a resident never sees it, and it is separate from an owner’s own asset register.
- Recording and editing equipment is part of the Jobs permission, so the technician standing at the boiler can record it.
- A connected assistant can read the register — for example "when does the warranty on the Smiths’ boiler end?" — but cannot add, change or remove equipment.
Frequently asked questions
Does scanning a plate add the equipment by itself?
No. A scan finds the equipment you already have or fills in a new record for you to check. Nothing is saved until you confirm it.
What if I do not know when the warranty ends?
Leave it blank. The equipment then shows "Warranty not recorded", which is never treated as out of warranty.
Can two of my customers have the same model?
Yes. A serial number identifies one unit; a model does not. When a customer has two units of the same model, a scan of the model alone asks you which rather than guessing.
Is this the owner’s asset register?
No. It is your business’s own record of what you service. A property owner keeps their own register, and neither sees the other’s.
