The dispatch board

See the day by technician, drag a job to a person and a time, and spot who is free, on time off or double-booked.

The dispatch board is one day of your work, laid out by person. Each technician has a lane, every job sits in it at its time and for its length, and the jobs nobody has given a time yet wait beside the board under No time set.

Moving work

  • On the website go to Work → Dispatch board. Drag a job to a technician’s lane and drop it at the time you want; it snaps to the nearest quarter hour. Drop it on the Unassigned lane to take it off everybody, or on No time set to take its time away.
  • Every job also has Move: choose who, the day, the time and how long it takes. That is how you move work from a keyboard or a touch screen, and on a narrow window the board shows each person’s jobs as a list with Move beside each one.
  • On the phones it is Tools → Dispatch board: the day’s jobs in time order with who has each, Previous day and Next day to change the day, and Move or No time set on each job.
  • A completed job stays where it happened and cannot be moved. Cancelled jobs are not on the board.

Who is told

  • Moving a job to somebody else tells the new technician and the one who had it, the same way assigning a job always has.
  • Moving a job to a new time tells its technician. If the customer has a phone number, they get a text with the new time — untick “Text the customer the new time” in Move if you do not want that.
  • Which channels reach your crew is set in Crew notifications.

Conflicts and time off

  • Two jobs that overlap for the same person are both marked, with the job they overlap. That is allowed — a quick stop inside a long job is common — so it is a warning, not a refusal.
  • A person on approved time off has their lane shaded and says so. Putting work on them that day is refused unless you choose “Book it anyway”.
  • Shifts from your schedule are shaded in each lane, so you can see who is meant to be working.

Two people moving the same job

If somebody else moved a job a moment before you, your move is refused and the board reloads, so you see their change before you make yours. Nothing is overwritten without anybody seeing it.

Times and who can do what

The board is drawn on your company’s own clock — the time zone in your notification settings — wherever you are looking at it from. Seeing the board needs the Dispatch & routing permission; moving work needs that permission with edit access. A connected assistant can read the board — “who is free tomorrow afternoon?” — and moves a job the way it always has, by updating the work order’s time and technician.

Frequently asked questions

Can I change how long a job takes?

Yes. Open Move and choose How long. The length is the job’s estimated hours, which route planning uses too.

Why can’t I drag on my phone?

On a phone the same move is Move on the job, which opens on its current technician, time and length.

Does moving a job change the customer’s booking?

It changes the job’s time, and the customer is texted the new time if you leave that ticked and they have a phone number.

Does the dispatch board cost anything?

No. It is part of Seayora.
