Customer campaigns and referrals

Email your own customers once or automatically after their last job, with follow-ups that stop when they book or pay, and reward the customers who refer someone new.

Customer campaigns let you email the customers already in your books — to fill a quiet week, remind people a tune-up is due, or bring back customers you have not seen in a while. Referrals reward the customers who send you someone new with a credit on their account.

Writing a campaign

  • Open Work → Customer campaigns on the website, or Tools → Customer campaigns on the phones, and choose New campaign. It is saved as a draft and nothing is sent until you send it or switch it on.
  • Choose who gets it: every customer with an email address, customers you have not invoiced in a set number of days, customers you invoiced recently, customers you have never invoiced, customers with an estimate they have not answered, or customers with or without a membership. You can narrow any of these to ZIP codes.
  • “Count who gets it” tells you how many customers would get it right now. Customers with no email address, and customers who have unsubscribed, are never included.
  • Write a subject and a message. {first_name} and {business_name} become each customer’s first name and your business name.
  • Add a button that opens your online booking page or the customer’s portal, and, if referrals are on, each customer’s own referral link.
  • Send yourself a test before it goes. The test goes to your own email address only.

Sending once, or automatically

  • A campaign sent once goes to everyone in the group when you press Send, or at the time you choose.
  • An automatic campaign goes to each customer a set number of days after their last invoice, or after they became a customer. Switch it on and it runs by itself.
  • Switching an automatic campaign on does not email everybody who already qualified — only customers who reach the trigger from that day on. Each customer gets an automatic campaign once.
  • An automatic campaign can have up to two follow-ups, each a number of days after the first email. Choose what stops them: the customer books or you invoice them, they accept an estimate, or they pay you. Unsubscribing always stops them.
  • Pause an automatic campaign to stop it for now, or cancel any campaign to stop it for good. What already went stays sent.
  • Up to 300 campaign emails go out a day for each business. The rest wait for the next day; nothing is dropped.

What the law asks of you

A campaign is marketing email from your business, and in the United States the CAN-SPAM Act applies to it. Before a campaign is sent or switched on you confirm, in the words Seayora shows you, that these are your own customers, that the email is about your business and its subject line is not misleading, and that you will honor every request to stop. Seayora keeps that statement with the campaign, with who confirmed it and when.

  • Every email prints your business’s mailing address. Seayora uses the address on the campaign, or the one on your business profile, and will not send without one.
  • Every email carries a link to unsubscribe from your emails. A customer who uses it gets no more campaign emails from you, straight away — including follow-ups already waiting.
  • If a customer asks you in person or by phone, use “Stop emailing a customer”. Invoices, receipts and reminders about money they owe still go to them; only marketing stops.
  • Seayora also never sends a campaign to an address that has unsubscribed from Seayora’s own marketing.

Reading the results

Each campaign shows how many emails went, how many people it reached, who is still waiting, and who was stopped because they booked, paid or unsubscribed. It also shows how many of the people emailed booked or were invoiced, and what they paid, in the 30 days after they were first emailed. Those figures are attributed to the campaign — they are not proof the email caused them. Opens are not counted, because many mail apps fetch images by themselves whether or not anybody reads the message.

Referrals

  • Switch referrals on in the accounting settings, under Policies → Referrals, and set the reward and the smallest invoice that earns it. Your online booking page has to be on, because that is where the links go.
  • Each customer gets their own link, shown on their customer portal and in any campaign that includes it. You can also look up a customer’s link from the Referrals tab.
  • When somebody new books through a customer’s link and you confirm the booking, the referral is recorded. Somebody who is already your customer is not counted. You can also record a referral by hand, for someone who was sent to you another way.
  • The reward is owed once the new customer has paid an invoice of at least your minimum. You issue it: “Issue credit” makes a credit memo for the customer who referred them, which applies to their next invoice like any credit, and they get an email saying so.
  • If a referral should not be rewarded, choose “Don’t reward” and say why; the reason is kept with the record.

Who can do what

Campaigns are part of the Customers permission; referrals are part of Invoicing, because a reward is a credit on the books. A connected assistant can read your campaigns and referrals, but it cannot send a campaign, switch one on or issue a credit — those stay with you, in Seayora.

Frequently asked questions

Will switching on an automatic campaign email all my old customers at once?

No. Only customers who reach the trigger on or after the day you switch it on are emailed.

Can a customer unsubscribe from me but still get invoices?

Yes. Unsubscribing stops your campaign emails only. Invoices, receipts and payment reminders still go to them.

Does Seayora send the email from my address?

It is sent by Seayora in your business’s name, with your business name and mailing address on it and a link to unsubscribe from your emails.

Do campaigns cost anything?

No. Campaigns and referrals are part of Seayora.
