Seayora AI: Repairs, Lease Questions, Briefs and Reports in Plain Words
What each Seayora AI tool does — describing a repair, asking about a lease, briefing a visit, checking an invoice, summarizing a month, turning a sentence into a report, reading a lease PDF, writing a campaign and the day’s brief — where to find them on the website and in the iPhone and Android apps, what happens before anything is sent, and what is kept.
Seayora AI is a set of small tools that each do one job with your own records: describe a repair in your own words and have the request filled in for you, ask a question about your lease and get the answer with the lease’s own words, get a brief before a visit, check an invoice before it goes out, and more. Each tool shows its answer as a card. When a tool prepares something to send — a repair request, a saved report, an imported lease — you check it and send it yourself.
Where to find it
- On the website, Seayora AI is a page in your portal: under Dashboard for residents, under Operations for landlords and management companies, and under Work for contractors. Property owners have a Seayora AI tab on a computer, and a “What needs me today” button on their overview on every screen size.
- In the iPhone and Android apps, it is in the same place in your tabs, and in Tools → Seayora AI.
- Each tool can also be opened from the page it belongs to: “Describe it in your own words” on a repair request, “Ask a question about your lease” on your lease, “Brief me before a visit” on a work order, “Check it first” on a draft invoice, “Describe a report” on Reports, and “Ask about this home” on a public listing.
- You only see the tools your kind of account can use. If you work for a management company or a contractor, you also only see the tools for the areas your employer has given you.
The tools
- Describe a repair (residents). Say what is wrong in your own words and add up to four photos. Seayora works out the type of repair and how urgent it sounds, suggests anything safe to try first, and fills in the request for you to check and send. If it sounds like an emergency — a gas smell, smoke, sparking, water coming through a ceiling — it says so at the top, with what to do first and your manager’s emergency line when they have set one. Your landlord or manager still decides the priority.
- Ask about a lease. Ask anything in plain words — rent, pets, notice, renewals, repairs — and Seayora answers from the lease itself, quoting the part it relied on. If the lease does not say, it tells you so rather than guessing. Leave the question empty for a summary of the key terms.
- Ask about this home (anyone, on a public listing). Questions about one advertised home are answered from what the listing says. It cannot book a tour or send a message for you; it offers the buttons to do that yourself.
- Brief me on a job. Before a visit: the work order’s history, access notes and the equipment on site, in one read.
- Check an invoice (contractors). Before a draft goes out: the tax basis, the customer’s details, and approved hours that are not on the invoice. A problem that would stop the invoice being sent is marked as one.
- Summarize my month (landlords and managers). Rent collected, what is outstanding, repairs and anything that needs attention, from your own figures.
- Describe a report. Say what you want to see in a sentence and Seayora builds the report in the report builder, ready to run and save. You check the columns before it is saved.
- Read a lease into Seayora (landlords and managers). Pick a lease PDF or photos of each page, and Seayora reads the parties, dates, rent and terms into the lease importer for you to check before anything is imported.
- Write a campaign. A short email to bring in work or fill vacancies, written from your own records, for you to edit and send.
- What needs me today. A short read of what is waiting on you today, from your own account.
Nothing is sent until you send it
- A tool that prepares something shows it under “Check it before it goes”, where you can change any field. Nothing is filed, saved or imported until you press the button to send it.
- What you send goes through the same screen and the same checks as if you had typed it yourself. A repair request sent from the tool is an ordinary repair request, with the description Seayora AI worked out attached so your landlord can see it.
- Seayora AI never pays, charges or refunds anything, and never sends a message on your behalf.
How the answers are written
- Every answer is worked out from your own records first. Where an AI model words the answer, it is given only those records and is not allowed to add a figure, a phone number, a link or an address they did not contain.
- If a tool could not check something, the card says it could not — never that there was nothing to find.
- Answers can still be wrong. Check anything that matters against your records before you rely on it. Seayora AI does not give legal or tax advice.
- On a Seayora install with no AI engine configured, every tool still answers, from the records alone.
What is kept
- The answers a tool gave you are kept for 30 days and then deleted. You can delete them sooner from Settings → Your data → Seayora AI answers.
- A photo or a lease you pick is read for that one answer and is not kept. A photo you then send with a repair request is kept with the request, like any other repair photo.
- A repair request, report or lease you sent keeps its own record; deleting your Seayora AI answers does not withdraw it.
What Seayora remembers
You can tell Seayora a few things to remember about how you work — “always copy Jamie on repairs at Bedford”, “I manage the Elm Street buildings, not Oak” — and the Seayora Assistant takes them into account every time you ask it something. Add, keep or remove them at the bottom of the Seayora AI page. When the assistant suggests something to remember, it waits for you to press Keep; it never remembers anything on its own. A memory can be up to 300 characters, you can keep 40, and anything that looks like a card number, a bank account, a Social Security number or a password is refused.
Your knowledge base
Landlords, management companies and contractors can give the Seayora Assistant their own policies and procedures — a pet policy, an after-hours lockout procedure, a move-out checklist, an onboarding guide for new staff. Then ask “what is our pet deposit?” or “what do we do about a lockout at night?” and the assistant reads the passages that answer it, answers from them, and says which document it used.
- Add documents under Knowledge base at the bottom of the Seayora AI page, on the website and in the iPhone and Android apps. Upload a PDF, a Markdown (.md) or a plain-text (.txt) file of up to 2 MB, or paste the text in. Headings that start with # become sections the assistant can quote.
- A scanned PDF has no text to read. Export it with text (OCR) first, or paste the words in.
- There is one knowledge base per business. If you work for a management company or a contractor, you see your employer’s, and you can add or remove documents only if your access includes editing documents.
- Tap a document to see exactly what the assistant reads. Remove it and the assistant stops reading it straight away.
- Passages are sent to the AI engine when they answer a question, so leave out passwords, door codes and Social Security numbers — a document that looks like it contains one is refused.
- The assistant treats your documents as reference, not as instructions: they never let it do anything your account could not, and anything it prepares from them is still a proposal you approve.
- Up to 50 documents and 200,000 characters each. The same document cannot be added twice.
- If you connect Claude or ChatGPT to Seayora as a landlord or management company, they can search your knowledge base too (the search_knowledge_base tool, with the Documents permission). Adding a document is something only a person does in Seayora.
Skills: questions you ask often
A skill is a question or instruction you save with a name — “Morning check: overdue rent, open emergencies and today’s move-ins”, “Month-end close list” — so you can ask it again with one press. Skills are under Skills on the Seayora AI page, on the website and in the iPhone and Android apps.
- Press New skill, give it a name, write what the Console should do, and save it. Press Run and the Seayora Assistant opens and asks it for you.
- A skill runs with YOUR access. It is only words: it cannot let anyone do more than their own account allows, and anything the assistant prepares from it is still a proposal you approve.
- Skills are private unless you share them. If you run a business with a team, you can share a skill so everyone on the team can run it; sharing, and editing or removing a shared skill somebody else wrote, needs access to change settings.
- A skill can be up to 2,000 characters and you can keep 60. A skill is sent to the AI engine each time it runs, so leave out passwords, door codes and Social Security numbers — one that looks like it contains one is refused.
- Skills are not available to Claude, ChatGPT or other connected assistants: they have their own ways to save a prompt, and a connected assistant can simply ask the same question itself.
Getting set up with the Console
While your account still has steps left on its setup checklist, the Console knows which ones. Ask it “what should I set up next?” or press Ask Seayora at the foot of the checklist, and it takes you through what is left one step at a time, with a button that opens each step’s screen. It only ever reads the checklist — a step ticks itself once it is done (see Your Setup Checklist).
Limits
- You can run Seayora AI tools up to 60 times an hour. If you reach that, the tool says so and you can try again shortly.
- Each photo or document can be up to 15 MB, and you can pick up to five files at once.
- The operator of your Seayora install can switch Seayora AI off, or switch off one tool at a time. When a tool is off, it says so, and everything it would have read is still on the usual screens.
Frequently asked questions
Did Seayora AI just file my repair request?
No. It fills in the request for you to check. Nothing is filed until you press Send, and what you send is an ordinary repair request your landlord or manager sees in the usual way.
It said my repair sounds like an emergency. What should I do?
Follow what the card says to do first — it carries your landlord’s or manager’s own emergency instructions and emergency line when they have set them. If anyone is in danger, call 911. Then send the request so they know. Seayora AI does not call anybody for you.
Why does the lease answer say the lease doesn’t say?
Because Seayora AI answers only from the lease itself, and it could not find a part of the lease that covers your question. It will not guess. Ask your landlord or manager, or check the full lease.
Is this the same as the Seayora Assistant?
They work together. The Seayora Assistant is a conversation about your whole account; Seayora AI tools each do one job with a form and a card. Both follow your account’s access, and neither sends anything without you.
Why can’t I see a tool someone else has?
Each tool is for certain kinds of accounts — describing a repair is for residents, checking an invoice is for contractors — and if you work for someone else’s business you only see the tools for the areas they have given you.
Does the assistant follow my knowledge base exactly?
It answers from the passages that match your question and names the document it used, but it can still misread one. Treat its answer as a pointer to your document, and check the document itself before you act on anything that matters.
Is my knowledge base kept when I delete my account?
No. Closing a business account deletes its knowledge base. A document a team member added stays with the business they added it to.
