Technician commissions

Give each technician a commission plan, see what they earn as jobs are finished, finalize each pay period into statements, and record when you paid them.

Commissions work out what each technician earned on the jobs they finished, under the plan you gave them. When a pay period is over you finalize it: each technician gets a statement, job by job, and you record when and how you paid it. Seayora works the commission out and keeps the record — you pay your people wherever you already do. Seayora never moves the money.

Plans

  • On the website go to Operations → Commissions → Plans. On the phones it is Tools → Commission plans.
  • A plan is a percentage of each job’s revenue, a percentage of revenue less the job’s materials, an amount per job, or a percentage plus an amount.
  • Revenue is what the job’s invoices billed before tax, after discounts, less any credit note. Tips are never included — they belong to the technician.
  • Choose whether a job earns commission when it is finished (once it has been invoiced) or only once the customer has paid every invoice on it.
  • A job done by a crew is split equally between everybody on it, and each person’s share is priced by their own plan.
  • A job that billed nothing — a no-charge return visit, say — earns nothing.

Putting someone on a plan

  • Under Plans → Who is on which plan, choose Change beside a technician (on the phones: Commissions → Change someone’s plan), pick the plan and the day it starts.
  • The plan’s terms are copied onto that person’s record. Editing the plan later does not change what they earn unless you choose “Apply to people on this plan”, from a day you pick.
  • The technician is emailed the terms, and again whenever they change.
  • A plan can start on any day after the last finalized pay period — a period that is already closed is never repriced.

The pay period

  • Choose monthly, every two weeks or weekly under Settings (weekly and every-two-weeks need the first day of one of your pay periods, so the weeks line up with your payroll). It cannot change once a period has been finalized.
  • Pay period shows each technician’s commission so far. The figures change as jobs are finished, invoiced and paid; “Waiting on payment” shows what a paid-only plan will add once the customer pays.
  • When a period is over, Finalize it. Periods are finalized in order. Each technician’s jobs freeze into a statement, they are emailed a PDF of it, and it is kept in their Documents and yours.

When something changes after a period closes

A finalized statement is never edited. If a job’s commission changes later — the customer paid after the period closed, an invoice was voided or credited, the crew changed — the difference appears as an adjustment on the next statement, for jobs finished in the last 180 days. A statement that comes out negative carries into the next one; it is never something Seayora collects.

Recording a payment

Open a statement under Statements and choose Mark as paid (on the phones: Record payment). Enter the day you paid it, how — with payroll, direct deposit, check, cash or other — and a reference if you like. It is a record of what you did; Seayora does not pay anybody.

What a technician sees

Every technician can open My commissions — their plan, this period’s jobs and what each earned, what is waiting on payment, and their statements — whatever their access to the rest of the business. They never see anybody else’s.

Who can do what

Plans, finalizing and recording payments use the Payroll permission. A connected assistant can read commissions — “what do I owe my technicians this month?” — but cannot finalize a period, record a payment or change anybody’s plan.

Before you rely on it

Some states require a commission arrangement to be in writing and signed, and set rules on when commission must be paid. The plan in Seayora describes how the figures are worked out; it is not your written agreement with your employees.

Frequently asked questions

Does Seayora pay my technicians their commission?

No. Seayora works it out and records it. You pay your people however you already do, then record the payment.

Are tips included in commission?

No. Revenue is the job’s invoices before tax. Tips belong to the technician and are never commissionable.

What happens when a customer pays late?

On a plan that pays once the customer has paid, the job is “waiting on payment”. When it is paid after its period closed, the commission appears as an adjustment on the next statement.

Can I change a plan without changing what people already earn?

Yes. Editing a plan changes it for people you put on it next. People already on it keep their terms unless you apply the new terms to them from a day you choose.
