The receptionist on your booking page
A chat on your booking page that answers customers’ questions from your own facts and hands them a time to book or a quote to ask for.
The receptionist is a chat on your online booking page. A customer asks in their own words — “how much is a drain cleaning?”, “can you come Thursday?”, “do you work in 11215?” — and it answers from what you have told it, then hands them the next open times or a quote request. It never books anything itself: the customer still sends the request with your page’s form, and you confirm it as you always do.
Switching it on
- On the website go to Work → Online booking → Receptionist. On the phones it is Tools → Booking receptionist → Settings.
- Switch on “Show the receptionist on my booking page”. It is off until you do, and it only appears while your booking page is live.
- Optionally write the first message it shows, and a line saying how to reach a person — a phone number and hours, say.
What it may say
- It answers only from your services (their names, prices, how long they take and whether they can be booked), your hours, the area you serve, your questions and answers, and anything you write under “What it may tell people”.
- It does not use general knowledge about your trade or invent policies. If your facts do not answer a question, it says it does not know and suggests sending a request.
- Every reply is checked before it is shown: a price or a time that does not appear in your facts is thrown away and replaced with a safer answer. So if you want it to quote a trip fee, write the trip fee down.
- When a customer wants a time, it shows the next open times from your booking page — the same times the page offers, never times it makes up.
- With no AI engine set up on your Seayora account, it still works with simple rules: it answers prices, hours, your area and your own questions and answers, and offers times to book.
What customers see
The chat opens with a line saying it is an automated assistant that answers from what your business has told it, and that a person at your business reads every booking request. Customers can ignore it and use the form directly. A time they tap in the chat fills in the form; they add their details and send it there.
Reading the chats
- Every conversation is listed under Receptionist (Tools → Booking receptionist on the phones), newest first, with whether it led to a booking or a quote request.
- A request that came from a chat carries the conversation, so you can see what the customer asked before they booked.
- Chats are kept for 180 days after the last message, then deleted.
Who can do what
The receptionist is part of Online booking, so it uses the Jobs permission. A connected assistant can read the chats — “what did people ask on my booking page this week?” — but cannot change the receptionist’s settings.
Frequently asked questions
Can the receptionist book a customer in on its own?
No. It shows open times; the customer sends the request with your page’s form, and you confirm it.
What if it gets something wrong?
It answers only from what you wrote, and any price or time that is not in your facts is replaced before the customer sees it. If an answer is incomplete, update your facts or your questions and answers.
Does it answer phone calls or texts?
No. It is a chat on your booking page only.
Does it cost anything?
No. The receptionist is part of Seayora.
