Using the Seayora app as a landlord or property manager
Approving sign-ins, answering repair requests from a notification, raising work orders with photos, inspections and receipts on site, and what waits for signal.
This guide is for landlords and property management teams using the Seayora app on an iPhone or an Android phone. The website is still the better tool for a long session with the books. The phone is for what happens while you are out: a repair request, a walkthrough or a receipt.
Signing in
Use the same account you use on seayora.com. Both apps take your email and password, or Continue with Google. The iPhone app also offers Sign in with Apple and signing in with a passkey; the Android app does not. If you made your account with Apple and want to use an Android phone, choose “Forgot password?” once on the sign-in screen to set a password, and both ways work from then on.
If you were in the middle of something when you were asked to sign in, such as opening a link from an email, the app takes you straight back to it afterwards.
The app lock
The first time you sign in on a phone, the app offers a lock: a four-digit PIN or a pattern, with Face ID or your fingerprint as the quick way in if your phone has one. The PIN or pattern stays on the phone and is never sent to Seayora. “Not now” is a real answer, and you can set or change the lock later under Settings.
Five wrong tries signs you out of the app. Nothing is lost: sign in again and choose a new lock.
Finding your way around
The app has the same five tabs as your account on the website, so a page you know on a laptop is in the same place on the phone. The bar uses the short names shown in brackets.
| Tab | What is in it |
|---|---|
| Dashboard (Home) | Rent collected and outstanding, open repairs, applications and what needs you today. |
| Portfolio | Properties, units and their leases, listings, and imports. |
| Operations | Applications, leases, rent, maintenance, inspections, showings, renewals, compliance, reports and accounting. |
| Communications (Messages) | Every conversation, contacts, and announcements to your buildings. |
| Settings | Your profile, payment methods, notifications, the app lock and security. |
To find anything by name, use search on the Home tab. Settings → All tools lists everything the app carries for your account.
Approving sign-ins on your phone
Once the app is signed in, signing in to your account on a new computer sends a prompt to your phone instead of a code to your inbox. Both screens show the same two-digit number. Check it matches before you approve. If the sign-in was not you, “No — secure my account” on the same prompt stops it. See “Approving Sign-ins on Your Phone”.
Repair requests
A new repair request arrives as a notification you can act on from the lock screen: Acknowledge tells the resident you have seen it, or reply to them. Open it to assign a contractor or raise a work order. To raise one yourself, open Operations → Maintenance, describe the job and add up to 8 photos at once.
On site: inspections, receipts and equipment
- Inspections: photos taken in the app record when and where they were taken, which is what makes them hold up in a deposit dispute. You can also add up to 10 photos from your library at once; those are labeled as library photos.
- Receipts: Operations → Scan a receipt turns a photo of a receipt or a bill into a draft. You check the draft before anything is saved.
- Equipment: photograph the rating plate on a boiler or an appliance and the app reads the model and serial, then finds the equipment or offers to add it. See “What the Seayora app can do that the website cannot”.
Rent and payouts
Operations → Rent shows what has been collected and what is late. From a notification, anything that moves money, signs a document or decides something for somebody else, such as signing a lease or approving an assistant’s proposal, opens the app, so your app lock stands in front of it.
Site visits
A management team can check in at a building from the phone, with up to 6 photos, and check out when the visit is done. See “Check-Ins & Site Visits”.
Your team on their phones
If you run a management company, each person on your team signs in with their own account and sees only what their permissions allow. See “Team Permissions”.
When there is no signal
What you do with no signal is saved on the phone and sends itself when you are back on a network. A strip at the top of the app says how many things are waiting; tap it to see them. Paying, approving a sign-in and calls are the exceptions, because they only mean something at the moment they happen, and the app says so instead of queuing them.
Frequently asked questions
Can I approve a sign-in with one tap from the notification?
No, on purpose. You open the prompt and check the two-digit number matches the one on the sign-in screen. A button on the lock screen would let anyone who had your password keep trying until you tapped yes to stop the buzzing.
Do inspection photos from my library count?
They are kept and shown, but labeled as library photos, because the app cannot vouch for when or where they were taken. Photos taken in the app record both.
Can I do everything on the phone that I can do on the website?
The apps carry the same tools under the same names. A few long jobs, such as setting up your books, are easier on a bigger screen.
